Job Title: Secretary/Receptionist/Records Clerk Job Description

Reports to: Center Director/Supervisor

Job Summary: The Secretary/Receptionist/Records Clerk handles incoming calls and greets guests of the agency. This position also provides secretarial support to the Center Director, Center Supervisor and other staff and uses a computer database to enroll children and families in Head Start.


Key Tasks and Responsibilities:
• Answer and route all incoming calls for center and Center Director/Supervisor.

• Greet and assist all outside visitors to the center.

• Type correspondence, reports, documents, overall clerical items.

• Accept Head Start applications, input information into the computer, and rank the applications.

• Provide Center Director with information gained from doing data base searches, e.g. n number of children on waiting list, number of children speaking Spanish at home, etc.

• Copy and collate materials.

• Post outgoing mail, sort and distribute incoming material.

• Maintain files for Center Director.

• Some evening work required – dependable attendance.


Required Skills Knowledge and Abilities:
• Skill in interpersonal communication.

• Experience using basic office equipment (e.g., copiers, fax machines).

• Ability to maintain a friendly, courteous and inviting office environment.

• Ability to type 50 wpm, run copy/fax machines.

• Ability to pay attention to details.

• Ability to work well with individuals from various ethnic and socio-economic backgrounds.
This position requires repetitive physical activity, including standing and/or walking for extended periods of time, bending, crouching, kneeling, sitting on the floor, and the ability to lift and safely carry at least 50 pounds.
